Customer Operations Specialist

As the Customer Operations Specialist, you will work closely with the Customer Service & Compliance team to service all order management and compliance needs of our clients. 

Principal Duties and Responsibilities (Essential Functions):

  • Ensure consistent, reliable and timely responses to customer inquiries and/or issues
  • Investigate and follow up on questions/issues to resolve concerns in an accurate and timely manner
  • Understand, interpret and maintain Federal & State laws for Beer, Wine & Spirits
  • Manage all state registrations for licenses, label registrations and distributor appointments
  • Maintain Federal and State tax reporting for Beer, Wine & Spirits and making tax payments
  • Review sales order data for compliance accuracy
  • Communicate effectively and professionally with both Federal/State divisions
  • Issue invoices, enter and pay bills using MRP software
  • Organize multiple customer accounts for submissions, renewals and monthly filings
  • File tax claims and refunds
  • Maintain and track registrations for multiple customer accounts
  • Work with internal team to provide pricing quotes and availability status to customers on raw materials and finished goods
  • Provide solutions, recommendations and product information with a sense of urgency, positivity and empathy
  • Receive and process raw material and finished good orders within MRP software, while ensuring accuracy of input data
  • Coordinate customer pre-payments for raw material orders
  • Organize and coordinate raw material and finished good shipments to ensure on-time order fulfillment and cost efficiency, while ensuring integrity of compliance with alcohol regulations
  • Report to customers on order and shipment status on a regular basis
  • Coordinate receipt of proper documentation for shipments, receipts, and other transactions. Follow-up on issues and discrepancies with shipments
  • Communicating effectively and professionally to customers and coworkers
  • Participate in customer meetings as needed
  • Utilize MRP software and systems effectively and Participate in the BevSource EOS/Traction Process
  • Other duties as assigned

Qualifications & Skills:

  • Bachelor's degree in business or technical discipline or equivalent
  • 3-5 years minimum of applicable experience is preferred
  • Customer service mindset with strong interpersonal and communication skills
  • Energetic and enthusiastic with a strong desire to learn
  • Hard-working with a strong work ethic
  • Strong desire and passion to help people
  • Ability to build relationships with clients, partners and coworkers
  • Strong MRP software and computer skills
  • Ability to work with a sense of urgency in a fast-paced environment
  • Strong organizational skills and attention to detail
  • Knowledge of alcohol industry terms and processes is preferred
  • Ability to interpret and understand state and federal laws
