Executive Assistant

The Executive Assistant is an ever changing position – in the beginning it will comprise of 3 roles:  (1) Management of crowler sales at The Lab, BevSource's pilot facility and taproom; (2) Office Management at The Lab; and (3) primary point of contact for internal and external inquiries in all matters pertaining to the CEO. The ideal candidate is a team player who thrives in a results-driven and fast-paced environment and has the ability to exercise creativity and good judgement in a variety of situations. Future responsibilities to include more HR functions like resume reviewing, onboarding, scheduling interviews, research on training programs, etc. This position is a full-time onsite job at The Lab, 767 N Eustis St, Ste 115, St. Paul MN 55114.  

Principal Duties and Responsibilities (Essential Functions):

  • Manage crowler sales at The Lab
  • Monitor the online sales system for orders and arranging filling
  • Schedule pickups and arrange any deliveries
  • Create and post social media posts about new beers and generate sales
  • Post beers for sale on Square Space and on Untappd
  • Office management work at The Lab
  • Order office supplies
  • Manage FedEx requests, including packing boxes and creating labels
  • Assist production and quality team from time-to-time on production days and miscellaneous tasks
  • Attend weekly team meetings
  • Input data and setup items in NetSuite
  • Receive and log quality samples, tracking and sending out reports, arranging for third party testing
  • Submit expense reports for the pilot team and monitor expenses
  • Work with all members of the team to do tasks as requested, including scheduling calls and meetings
  • Light cleaning of taproom area, wash glassware, and clean restrooms
  • Work with CEO to manage the Black Business Is Beautiful Market
  • Managing vendor meetings, website, surveys, social media
  • Onsite management of the market every second Saturday @ The Lab
  • Primary contact for CEO internally and externally
  • Respond to inquiries for the CEO and schedule meetings including booking travel, and hotel arrangements when needed
  • Support CEO on new projects – doing research on new projects – everything from hand sanitizer to training programs
  • Proactively organize day to day activities for CEO. i.e. schedule meetings, arrange phone calls, follow up on open appointments, send recaps, book conference rooms, prep CEO for meetings
  • Other tasks as assigned by Leadership. i.e. formatting reports, PowerPoint presentations
  • Various errands and tasks, at times including personal items
  • Send emails on behalf of CEO and monitor inbox
  • Assist with The Lab projects where needed, schedule interviews, etc.
  • Help Leadership research new ideas as assigned
  • Be professional, including maintaining a high level of discretion regarding confidential and sensitive information
  • Work hours to begin with will be 9am-6pm Tuesday through Saturday and adhoc assistance during non-working hours – CEO will be flexible on moving time off during the week
  • Other projects as assigned

Qualifications & Skills:

  • Strong desire to work in an assistant role and explore and learn new things
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Be a proactive communicator, not only in person, but also via email, text, and IMs
  • Be a team player by being flexible and adaptable to changing circumstances and helping with various business priorities, as needed
  • Advanced level knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Highly versatile and resourceful team player, with the ability to also be extremely effective independently
  • Strong written, verbal and interpersonal communication skills
  • Ability to work with different personalities and be open and honest in their communication
  • Possess the ability to handle multiple priorities while maintaining exceptional organizational and time management skills
  • Ability to anticipate needs, exercise creativity, and take initiative
  • Be adaptable to change while upholding a positive attitude
  • Ability to lift 30 pounds
