HR Assistant

The HR Assistant is responsible for onsite Human Resource activities such as filing new hire paperwork, scheduling and conducting interviews, and managing the employee recognition program. The HR Assistant also oversees office and administrative tasks including maintaining the front desk area and greeting guests, ordering office supplies, and answering and directing calls from the main operator line.

Principal Duties and Responsibilities (Essential Functions):

  • Oversee office and administrative tasks
  • Answer phones and direct calls from the main operator line
  • Maintain the front desk area and greet guests appropriately
  • Maintain office as a whole and keep common areas clean and organized. This includes keeping conference rooms guest ready, stocking beverage coolers, making coffee, maintaining dishes/dishwasher, office furniture assembly, etc.
  • Open, sort and distribute company mail
  • Order company supplies including office supplies and miscellaneous packing materials and service office equipment when needed including loading printer paper and toner and schedule maintenance when needed for office space related repairs including fixing doors, changing light bulbs, etc.
  • Run company errands to purchase items such as gifts for employees, pick up important documents from our other office site, etc.
  • Filing of confidential employee documents including employee I9, W4, 1099, direct deposits, etc.
  • Process employees through the E-Verify website as well as any necessary follow-up
  • Track I9s for new hires and help run reports to ensure on-going compliance
  • Assist in various aspects of the company’s recruitment and selection process including reviewing resumes, conducting phone interviews, conducting reference checks, etc.
  • Maintain the highest level of confidence with confidential data
  • Manage and own internal mentor program pairing process
  • Provide support organizing company events, team building activities, fundraising and volunteer activities for non-profits
  • Manage employee recognition program including logging BevBucks dollars, Kudos in NetSuite, quarterly core value award trophies, mailing birthday and anniversary cards, ordering gifts for tenured anniversaries, coordinating 10 year anniversary work parties, etc.
  • Proactively provide Marketing with employee updates for social media
  • Manage Concur company travel software, set up new employees, and be the “go to” travel planning resource
  • Gather data for company newsletter, work with virtual assistant on compiling into the ReBrew internal newsletter
  • Schedule meetings and interviews on behalf of HR Department
  • Manage inventory of home office equipment for all employees
  • File expense reports on behalf of HR Department
  • Other activities as assigned by the HR Department. (i.e. formatting reports, PowerPoint presentations, etc.)

Qualifications & Skills:

  • Bachelor's degree in Human Resources, Business Management, or related field (Human Resources preferred)
  • 0-2 years minimum experience in Human Resources or Office Administration
  • Ability to work on site a minimum of 75%
  • Approachable and appropriate demeanor when interacting with all levels of staff in a rapidly changing and growing environment
  • Ability to make smart decisions independently within broad guidelines
  • Ability to positively present our company and open roles to potential candidates
  • Proven self-starter committed to confidentiality, quality performance, and building long lasting relationships
  • Strong organizational skills with the ability to multi-task in a fast-faced environment

  • Experience exercising creativity in Microsoft Office Suites including PowerPoint and Publisher
  • Knowledge and understanding of employment laws and HR compliance
